AGM reminder | Important information on entry conditions under the "Red traffic light" setting

Below is some important information regarding next Tuesday's Annual General Meeting (AGM) including details on how the event will be run under the Government's COVID-19 Protection Framework system.

With Auckland set to be under the Government's "Red" setting as part of the new COVID-19 Protection Framework, Tuesday's AGM is able to go ahead in person under certain conditions.

Those conditions are:

  • RSVPS are required. Please RSVP by 5pm, Monday 6 December to

  • The event will be capped at a maximum of 100 attendees (not including staff) and based on 1m distancing

  • Attendees are strongly encouraged to wear masks

  • Parking is available in the main 'Southern Motorway' carpark only

  • Please note that due to it not being a raceday, the members' carpark will be utilised by Ascot Hospital and will not be available for AGM parking

  • ​Attendees are required to enter the grounds via the main entrance turnstiles at Gate 6

  • The racecourse is operating as a "Vaccine Required" venue and therefore:

  • Anyone planning to enter the racecourse is required to present a valid “My Vaccine Pass” for scanning upon entry (at Gate 6) and may also be required to show a valid form of photographic identification. Please have these ready to help allow a swift entry process

  • Anyone who is unable to show a valid “My Vaccine Pass” will not be permitted into the racecourse and AGM

  • Record keeping and /or scanning is required at "Red". Attendees are strongly encouraged to sign-in to the venue using the NZ COVID Tracer app. QR codes for scanning will be on display at the main entrance and at other points throughout the racecourse. If required, manual sign in forms will also be available at the main entrance (Gate 6) and in the foyer of the Ascot Stand

  • Only financial members of Auckland Thoroughbred Racing Inc are able to attend the AGM

  • Attendees will be required to state their name upon entry to the Hunterville Room in order to be checked and signed off the members' list

  • Anyone who has previously supplied the Club with a Proxy vote form but then chooses to attend the AGM is asked to inform registration staff of this fact upon entry to the room

  • Complimentary tea, coffee, orange juice and water will be available within the Hunterville Room. These beverages will be made and served by staff members with attendees required to be seated for consumption

  • Unfortunately, due to limitations around serving food & other beverages under the "Red" setting there will be no further hospitality (food and / or beverages) offered at the conclusion of formalities

  • Attendees are encouraged to allow time for the scanning and sign-in process when planning their journey to the racecourse.
